Exhibitor Guide

Public Opening Hours: 11:00 AM – 9:00 PM

🔑 Essential Information for All Exhibitors

Please read all the information below. All Exhibitors must have public liability insurance to trade.


📦 Load-In & Setup

  • Address: 1 Shortlands Hammersmith International Ctre, London W6 8DR

    Directions: Go LEFT once at the location address (see images below) Follow the wall sign on the left for “Deliveries“ entrance.

  • Access for loading: From 7:00 AM to 10:00 AM - Please see link to book your loading below

  • Loading: You are required to book a loading slot for a 20-minute window to unload your goods in a loading bay. Please arrive promptly and unload efficiently.

  • After unloading: you must move your vehicle to the hotel car park (car park charges apply - see parking below).

  • Health & Safety inspections: Exhibitors must be fully set up by 10:30 AM for mandatory checks.

  • Trolleys and clothing rails: are not provided. Please ensure you bring your own.

  • Space Only is provided — no shell scheme, tables, or fittings will be in place. Please bring your own.

 

🚗 Parking

  • Exhibitor parking is available within the hotel at a cost of £3.50 per hour.

  • You must offload first in the loading areas (you must book a 20-minute time slot with us - book here) and then move your vehicle to the hotel car park.


🕒 Timings on the Day

  • Load-in: 7:00 AM – 10:00 AM

  • Stall setup completion: By 10:30 AM

  • Health & Safety check: From 10:30 AM

  • Public entry opens: 11:00 AM

  • Event ends & Public exit: 9:00 PM

  • Breakdown / exit: From 9:00 PM – all exhibitors must be cleared by 12:00 AM (midnight)


🧾 Stall Information

  • Your booking includes space only – no stall/ furniture is provided

  • You must bring your own branded setup (e.g. tables, cloths, rails, signage)

  • Power – please let us know in advance if you require any. Email: support@algebrafestivals.com

  • No more than 5 staff per stallstaff badges will be provided on arrival.

  • Each exhibitor is responsible for their own stall cleanliness throughout the day. All rubbish MUST be taken by the exhibitor

  • All products must comply by UK Trading Standard Laws

  • WIFI is complimentary within the hotel


🍴 Food & Lunch Options

  • There are a number of cafes and restaurants situated within walking distance from the venue . The venue also has a bar on the 1st floor where snacks and tea’s and coffee’s can be purchased. You are welcome to bring in your own packed lunch.


📑 Insurance Requirement

All exhibitors must hold valid Public Liability Insurance (PLI).
If you do not currently have insurance, you can purchase cover with us and be added onto our policy.


Do’s

  • Do arrive early and stick to your load-in time slot

  • Do bring rails, trolleys, and display equipment

  • Do keep your stall neat, professional, and staffed at all times

  • Do respect Health & Safety procedures and team instructions

  • Do bring your best energy — this will be a very busy and high-profile event!

Don’ts

  • Don’t exceed the space allocated or spill into neighbouring areas

  • Don’t bring more than 5 staff members without permission

  • Don’t leave waste or packaging behind — clear your area before leaving & take all rubbish with you

  • Don’t begin packing down before 9:00 PM unless advised by organisers
